People Management

The People Management FAQ section furnishes responses to commonly asked questions regarding fundamental concepts encompassed within People Management.

  1. Can I delete an Employee from LightWork?
Employees cannot be deleted from LightWork if the Employee information is coming from a third-party system. Even though an Employee cannot be deleted from LightWork, their status can be changed so they do not show as an active Employee. To do this you will need to:

    • Switch the Employee to Terminated Status in your HRMS system.

    • Sync your HRMS system with LightWork.

Once those steps are complete the Employee will be marked as terminated in LightWork. This will remove them from everywhere in LightWork except the Employee Profiles section.

  2. If I delete an Employee's Appraisal and their User account, will the terminated Employee still show in LightWork?
Deleting an Employee's Appraisal and Username does not delete the Employee's records in the Employee Profile section of LightWork. By deleting the Username, you would ensure that the terminated Employee would not be able to access LightWork. (That can also be done by setting up your system so terminated Employees cannot log in from within the System Options Maintenance.)

If your LightWork system is integrated with another third-party HRMS system, you will not have the capability to delete an Employee's Profile from LightWork. LightWork gets all of its information from your HRMS system, which is why it cannot be edited. Now, that does not mean that the Employee will continue to show up throughout LightWork.

When an Employee is terminated within the third-party HRMS system and then synced with LightWork, the Employee will be marked as terminated within LightWork. When an Employee is terminated within LightWork they will no longer show in filters or on Manager's screens, unless a filter is set to show terminated personnel.

So, by terminating an Employee, you would be removing the Employee from the system's day-to-day activities. The only part of an Employee that would still exist would be their historical record within LightWork. They would not be active in any other way.
